The process, step by step

  1. Scope and exclusions

    We agree systems, periods and exclusions in writing. HR, health, private channels, direct messages and private email are excluded by default.

  2. Employee notice

    You send the notice we draft for your staff, followed by a 30-day opt-out window. Where you have a works council, we give you the guidance to consult it first.

  3. Export and EU anonymisation

    Your administrator runs a standard export. We process it on EU infrastructure under our data processing agreement: redaction, consistent entity replacement, re-identification testing and quality review. Then the raw export is deleted.

  4. Fixed fee

    You grant Knowlode a non-exclusive licence to the anonymised output only. We pay the agreed fee within 14 days of passing quality review.

Your compliance kit

Every engagement includes the documents your DPO and works council will ask for.

  • A data processing agreement (GDPR Art. 28).
  • A legitimate-interest assessment (GDPR Art. 6(1)(f)) and a compatibility assessment (GDPR Art. 6(4)).
  • A DPIA template (GDPR Art. 35).
  • An employee notice (GDPR Art. 13(3)) and a 30-day opt-out process.
  • Works-council guidance for Germany, Austria, the Netherlands and France, and the notice period for Denmark.
  • An anonymisation report for your dataset.

Security commitments

    The raw export is deleted once the anonymised dataset passes review. The retention window is fixed in your agreement.

    We are preparing for ISO/IEC 27001 certification. We will not claim it until it is awarded.

Seller questions

How is the fee calculated?

From your size, how many years of archives you keep, how many kinds of data are in scope, and your sector. The estimate shows a range. After review we agree one fixed figure.

Who will use our data?

AI developers who license Knowlode’s anonymised datasets. We never disclose who contributed, and buyers never receive raw data.

Do you need access to our systems?

No. Your administrator runs a standard export from each tool and transfers it to us securely. Where a vendor’s terms allow it, we can offer scoped, time-limited access instead.

Is the licence exclusive?

No. You grant a non-exclusive licence to the anonymised output. Your data stays yours, and you keep using it as before.

How long does it take?

Typically 4–8 weeks from first call to payment, longer where a works council must be consulted first. The 30-day staff opt-out window is the main fixed step.

What if a dataset fails anonymisation testing?

It is not licensed. We either remove more until it passes, or exclude that source and adjust the fee before you sign.
